Cosplay Department runs official cosplay related activities. Cosplay provides equipment for the cosplay repair station, hosts gatherings, and organizes the Masquerade. Responsibilities

The Masquerade

The Masquerade is a major cosplay event, hosted on the Main Stage on Saturday. From Walk-ons, skits, dances, and the exhibition of costumes, each performance is judged and usually eligible for prizes. Cosplay staff are ineligible from entering the Masquerade. Cosplay Guests will make up the bulk of judges for the Masquerade. See Cosplay Judge Instructions.

Tasks

  • Make sure Beta opens up the Masquerade correctly
  • Review and Update Judging Forms (Contact last year's judges for tips on revamping the forms.)
  • Review & Update Masquerade Rules on Site
  • Review & Update Cosplay Judge Instructions
  • Make Sure Programming Schedules Things

  • Email the Info on the Masquerade (Email the "Masquerade Interest" group in mailchimp to let people know the signups are open.)
  • Find/Buy Masquerade Prizes In Theme
  • Find/Buy Baskets for Prizes (Buy something like 9+ baskets. Can get from a thrift store but if you can find something inexpensive on Amazon they'll match which is nice.)
  • Make Sure We Have Enough Clear Wrap For Prizes
  • Bundle Up Prize Baskets
  • Find/Determine Judges
  • Email Cosplay Judge Instructions to Judges
  • Put Together Masquerade Logistics Boxes (These boxes are specifically for things related to the masquerade and should follow the staff to the Masquerade events (rehearsal, judging, show, and reception))
    1. Clipboards (between 5 and 10)
    2. Copies of the Judges' Instructions
    3. Craftsmanship judging forms
    4. Performance judging forms
    5. Pack of Working Pens
    6. Yellow Notepads
    7. Blank Masquerade Signup Forms
    8. Printed / filled in signup forms for pre-signsups
    9. Poker chips (???)
    10. Masquerade fact sheets
    11. 50-ish pages of blank paper (for printer)
    12. Binder clips (mini size, at least 30)
  • Plan for a Color Printer During the Rehearsal (Registration has a couple)

Cosplay Meetups are a great way for cosplayers/attendees to come together over a shared love of their favorite piece of media. Meetups should be approved by staff and scheduled with Programming.

Tasks

  • Determine what meetups to run
  • Schedule meetups (Work with Programming to list a schedule/place for cosplay meetups)
  • Determine who is running which meetups

Cosplay Repair

An area dedicated for the on-site repair of con-goer cosplays. Also can be used for a quiet cool-down area where photography is not allowed.

Tasks

  • Review the Cosplay repair box for items
  • Budget request missing/needed cosplay repair items
  • Schedule the cosplay repair station

Cosplay Chess

A first for the convention in 2016. The board is generally located near or in the Tabletop space.

The board's measurements are 16.7 by 16.7 feet (200 1/2 inches) overall. Each square is about 2 by 2 feet (22 1/2 by 22 1/2 inches) with a 5 1/2 inch border around the outside of the entire board.

Tasks

  • Schedule Cosplay Chess With Programming Department.
  • Make sure Board is in good repair (Repair as needed, wash as needed, etc. Do any maintenance required.)
  • Make Sure There's a Location Planned (usually tabletop, check with Logistics)
  • Have someone run the Cosplay Chess Activity.


Plan Cosplay Panels

Tasks

  • Encourage cosplayers to run panels (cosplay staff included)
  • Help cosplayers sign up for panels
  • Make sure Programming schedules panels
  • Make sure panelists show up to their panels


Misc. Responsibilities

  • Determine annual cosplay theme ribbons
  • Work with Programming to ensure that all Cosplay-run activities are scheduled.
  • Work with Logistics to acquire supplies/prizes as needed.
